Personal data that we process

Opti-flor processes your personal data because you make use of our services and/or because you have provided them to us.

Here is an overview of the personal data that we process:

- First name and surname

- E-mail address

Special category and/or sensitive personal data that we process

Our website and/or service does not aim to collect data about website visitors who are younger than 16 years old, unless they have permission from their parents or guardian. However, we have no means of checking whether a visitor is over 16. We advise parents to pay attention to the online activities of their children, to prevent data about children being collected without parental permission. If you are convinced that we have collected personal data about a minor without permission, please contact us at: marketing@optiflor.nl, and we shall delete this information.

For what purpose and on what basis do we process personal data

Opti-flor processes your personal data for the following purposes:

- Sending out our newsletter and/or advertisement folder

Automated decision-making
Opti-flor does not base decisions on matters that can have consequences (serious or otherwise) for people on automated processing. This concerns decisions that can be taken by computer programmes or systems, without a human being involved (for example, an Opti-flor employee).

For how long do we archive personal data
Opti-flor does not archive your personal data longer than strictly necessary to realise the purposes for which your data were collected. The data are saved for as long as you remain subscribed to our newsletter.

Sharing personal data with third parties
Opti-flor shares your personal data with various third parties if this is necessary to implement the agreement and to comply with any legal obligation. We conclude processing agreements with companies that we commission to process your data to ensure the same level of security and confidentiality of your data. Opti-flor remains responsible for this processing. Opti-flor also provides your personal data to third parties, but only with your express permission.

Cookies, or similar technology, that we use
A cookie is a simple text file that is placed on your computer or mobile device when you visit a web page. Cookies cannot damage your computer or the files on your computer. Cookies do not identify people, just computers.

Opti-flor makes use of analytical cookies. With these cookies, we can maintain statistics, via Google Analytics, about our website. Google collects the information to ascertain how our website is being used, to provide us with reports about the website and to offer its advertisers information about the effectiveness of their campaigns. Google can provide third parties with this information if Google is legally obliged to or if these third parties process the information on behalf of Google. We have no influence in that.

Privacy
We have set our Google Analytics to privacy-friendly. Your IP-address is presented anonymously, and we do not share any data with Google.

Inspection, modification and deletion of data
You have the right to inspect, correct or remove your personal data. You also have the right to withdraw any consent to data processing or to appeal against the processing of your personal data by Opti-flor, and you have the right of data portability. This means that you can ask us to send the personal data that we have collected from you in a computer file to you or another organisation specified by you.

You can submit a request for inspection, correction, deletion, transfer of your personal data or notification of withdrawing your consent or appealing against the processing of your personal data to: marketing@optiflor.nl.

To confirm that the request to inspect data was actually made by you, we ask you to include a copy of your proof of ID with your request. Block out in this copy your passport photo, MRZ (machine readable zone, the stripe with numbers at the bottom of the passport), passport number and personal ID number (PID). This should protect your privacy. We shall respond as quickly as possible to your request, certainly within 4 weeks.

How we protect personal data
The Opti-flor website is built in Lumen, which is the property of JEM-id. Lumen is a Content Management System, an online code editor and hosting in one. Websites can be built in Lumen, and website managers can modify their website content there. In addition, translators, marketers, photographers, etc. can become members of the Lumen Community, allowing website managers to utilise the services of these experts. See: www.lumen.online for more information. No sensitive personal data are processed in Lumen. Lumen focuses on website developers and contributors to a website like the website manager, photographer, online marketer, etc. Employees of JEM-id can access the data of the Lumen users that they need to be able to do their work. They will not change or add any data, but view them as byproducts to resolve technical problems.

Lumen is not essential in the operational management of parties commissioning JEM-id, but it is a handy system to build, set up and maintain websites. The password linked to an account is encrypted and not visible to anyone. The Lumen user cannot see the password either, so if someone forgets his/her password, a new one must be created. The data that the Lumen user enters into his or her account are visible to all Lumen users, JEM-id employees and the hosting Microsoft Azure. These data are handled discretely by JEM-id employees and only used to provide a service. Lumen users have the choice to add personal information to their account; it is not mandatory to fill in the fields except for name and e-mail address. These data can also be modified at any time by the Lumen user. Employees of JEM-id can access the data of the Lumen users that they need to be able to do their work. They will not change or add any data, but view them as byproducts to resolve technical problems. The website and online environment of Lumen uses a secure connection (SSL certificate). The commissioning party determines whether a SSL certificate is placed on the websites created in Lumen. The provider (Microsoft Azure) makes back-ups of Lumen. We do not make use of long-term back-ups, just ‘default point in time restore’, which stores at most 7 days' worth of information. JEM-id has a partnership agreement with Microsoft Azure.

Opti-flor takes the protection of your data seriously and implements suitable measures to prevent abuse, loss, unauthorised access, unwanted publication and unauthorised modification.
